Delegates who have booked through the PCO KW Conferences, please note that the rates are inclusive of buffet breakfast, all applicable taxes and shuttle transportation between the conference venue and the official hotels at fixed times in the morning and evening. A staff member from KW Conferences will be available at the Registration counter from 28-30 March during 11.00-16.00 hrs to handle accommodation queries.

Accompanying Persons

For registered accompanying persons, the fee covers attendance at the Inaugural Ceremony at HICC, the Welcome Dinner at HITEX Ground on Friday 28 March and entry to the Exhibition. The fee does not include access to scientific sessions, lunches, Gala Dinner or catering other than the Welcome Dinner.

Badges

It is essential that you visibly display your badge at all times as Congress staff will not allow delegates to access the Congress venue without a valid badge. Your name badge gives you access to scientific sessions, the exhibition, workshops registered for, the Inaugural Ceremony, the Welcome Dinner and Lunch areas as per their colour coding. Duplicate badges will only be issued on production of valid photo identity and payment of Rs 500. Please note duplicate coupons will not be issued with the duplicate badge, and will have to be purchased additionally for lunches and the Welcome Dinner.

An Indian Bazaar area has been created in the first floor foyer where participants have a welcome opportunity to shop for sarees, fabric and pearl jewellery, a Hyderabad speciality.

Business Centre

The HICC Business Centre is located in the foyer, opposite Room G.03. It is open between 09.00 – 18.00 hrs daily. Services include an internet cafe, fax, printing and photocopying, all available at a fee. Mobile phone charging is complimentary.

Commercial establishments are generally open from 10.00 – 17.30 hrs, Monday to Friday. Shops are generally open from 10.00 – 20.00 hrs from Monday to Saturday. Big shopping centres and malls are open every day from 11.00 – 21.00 hrs.

Catering Entitlements and Coupons

The registration fee for Faculty and Delegates includes lunch, Welcome Dinner and tea and coffee on the three days of the Congress. To ensure efficient catering for the large number of delegates, lunch will be served at different locations as denoted by the colour of the coupons. The colour of your coupons clearly identifies the location of the lunch areas. Please access the designated area as specifically identified by your coupons. One booklet of coupons will be handed over to each of the registered delegates with their kit. This will contain 3 coupons for lunch on 28, 29 and 30 March respectively which will be colour coded to denote the location for the lunch service. There will be a coupon for the Welcome Dinner on 28 March. Delegates registering for the Pre Congress Workshops on 27 March will get a lunch coupon for the morning workshops, and a dinner coupon for those registering for the evening workshops. Extra or duplicate coupons will only be issued against additional payment and verification of identity. Please take very good care and do not misplace the coupons booklet.

Certificate of Attendance

Certificates are available in electronic format only. To obtain a certificate of attendance delegates must complete an online evaluation form. Following the conclusion of the Congress, a link to the form will be sent to the email address used by delegates when they registered to attend. Once a delegate has submitted his/her form, they will automatically receive a certificate to download.

Cloakroom

A cloakroom is situated on the main ground floor foyer Organiser Suite 1. The cloakroom is free of charge and will be staffed during the Registration counter opening hours. Delegates are not permitted to leave luggage at the cloakroom overnight.

Delegates wishing to ask questions of speakers during the scientific sessions should raise their hands and they will be given a question form to fill. Room Capacities

Space will be allocated on a first come first served basis and we do not guarantee access to Scientific Sessions. Delegates are requested to arrive at the session in good time. The spill-over rooms with live coverage, for the Inaugural and Plenaries are Halls 5 & 6.

Smoking Policy

Smoking is not permitted inside HICC. There are 2 designated smoking areas outside the North and South foyers. Smoking is also permitted near the swimming pool area, Novotel Hotel.

Speaker Preview Room

The Speaker Preview room is located in Room G.06 on the ground floor. All oral presenters including Faculty Speakers, debaters, panel moderators and Free Communications speakers should upload their presentation in the Speaker Preview Room at the earliest opportunity and no later than two hours before the start of the session in which their presentation will take place. If the session is early in the morning, you may wish to check in your presentation the day before. Technical staff will be on hand in the Speaker Preview Room to check your presentation and download it on to the Secretariat’s Computer.
